What the enquiry form collects

The form on the contact page submits the following fields: name, company, email address, country, category of goods, and the message you write.

• Name — so we can address the reply
• Company — because we supply businesses only
• Email address — the only channel we reply on
• Country — it determines VAT treatment and delivery
• Category — which of the three groups the enquiry concerns
• Message — the specification you send us

The hidden field

The form contains one additional field that is hidden from you and visible only to automated scripts. If it arrives filled in, the submission is discarded without being read, stored or sent on. Its contents are never processed.

IP address

Your IP address is held in the memory of the server process for ten minutes, solely to limit the number of submissions from one address. It is not written to disk, not included in the email we receive, and it disappears when the process restarts.

Legal basis

We process enquiry data under Article 6(1)(b) GDPR — steps taken at your request prior to entering into a contract.

For business correspondence and for keeping a record of what was offered, we rely on Article 6(1)(f) GDPR, our legitimate interest in conducting and documenting trade.

The checkbox on the form confirms that you have read this policy. It is not consent under Article 6(1)(a), and withdrawing it does not affect an enquiry already in progress.

Recipients

Enquiries are delivered to our mailbox by the email provider that hosts our domain, acting as a processor. Where an enquiry becomes an order, the data required to invoice and ship it is shared with our accountant and the carrier.

No data is transferred outside the European Economic Area by this website.

Retention

Accounting records are kept for ten years under §35 of Act No. 431/2002 Coll. on accounting.

Correspondence relating to a contract is kept for four years, the limitation period under §397 of the Commercial Code.

Enquiries that do not lead to a contract are kept for two years, so that a returning buyer does not have to repeat a specification. This period is our own estimate, not a statutory one.

Your rights

You have the right of access, rectification, erasure, restriction, portability, and the right to object to processing based on legitimate interest. Write to info@initrade.eu.

You may lodge a complaint with Úrad na ochranu osobných údajov Slovenskej republiky, Galvaniho 7/B, 820 07 Bratislava 27.

There is none. Every enquiry is read and answered by a person.
